How do I access the Faculty Pay System through VDI (Virtual Desktop Infrastructure)?

Answer:

Faculty Pay System users are required to use the VDI (Virtual Desktop Infrastructure) to access the Faculty Pay System. The VDI environment has all the necessary configurations to continue to access the Faculty Pay System securely. Additionally, the VDI has all of the following configurations in place, which means you no longer have to maintain or worry about these special configurations on your workstation.

  • Java 8​

  • Internet Explorer browser and settings

How to access the Faulty Pay System

1.    Open and log into the VMware Horizon Client.

  1.     Open the application:

  1. Click “New Server" or double-click “Add Server” located at the top left of the application window. Enter the name of the Connection Server: cascade.lcc.edu and click Connect.
  2.     Login with your LCC network user name and password.

  1.     Double click “Employee” to open the Employee pool:

  1.     Acknowledge and accept the Acceptable Use Policy
  1. Congratulations! You are now in the Employee pool.  Give yourself a pat on the back and let’s move on.

On the desktop you will see an Edge browser icon that is labeled, “FPS PRODUCTION”. Double click this icon:

Note: Only Faculty Pay Systems users will have this icon. If you do not have the icon, please contact Stephanie Boledovich (fournis1@star.lcc.edu) or Patrick Harrison (harrisop@star.lcc.edu).

  1.     When the browser opens, it is very important to pause for a few seconds to make sure you see an Internet Explorer icon next to the address. It will look like this:

If you get an error, click the refresh button. In my experience, this step took a little longer and I had to refresh on my first time accessing the system. It became much quicker and simpler after that.

  1.     Everything should be familiar from this point forward. Check “I accept the risk and want to run this application” and click Run on the Security Warning. Repeat if necessary:

Note: Click on “Show Options” and check the “Do not show this again for apps from the publisher and location above” to prevent the security warning from displaying in the future.

  1.     Use your LCC User Name and Faculty Pay System Password on the Logon page and click Connect:

Note: The Database will default to “fpsp”. Do not change this field.

You made it! You should now be in the Faculty Pay System. Give yourself another pat on the back! This may seem like a lot of steps at first, but you should find that it goes pretty quick and will not feel that complicated after a few attempts.

How to exit the Faculty Pay System and VDI

  1.     When you are done using the Faculty Pay System, it is recommended that you log out of the application. To do this:
    1.     Close the active record that you are on to get back to the menu.
    2.     Click on the “File” menu, then click “Log Out”

  1.     Click “OK” on the logout message.

  1.     Click “Exit” on the Logged Out message.

  1.     Click the “X” to close the browser window. Then click the “X” to close the VDI window, if you are done using the VDI. Click “OK” on the Disconnect desktop message.

Note: If you are done using the VDI for work related items, I recommend that you close it.

FAQ and Tips

Horizon VMware (VDI)

  •          My Horizon VMware (VDI) software version states that it is current or the most recent, but it does not match the version 2203, build 8.5.0 that was provided in the first communication. What should I do?

You can download the most recent version by going to the following link:

  •          I do not have the current version of Horizon VMware (VDI), but I can still see and access the Faculty Pay System. Is this going to cause a problem?

It is recommended that you use the current version of Horizon VMware because it insures that you are on a supported version and have the more recent security updates.

  •          My VDI session opens on both of my monitors or my full monitor. How do I change my display settings?

You change the display setting to open in a small window on one monitor. The following are 5Star Knowledge Database instructions to change the display setting.

It is important to note that you will be using the “Employee” pool to access the Faculty Pay System when following the instructions.

  •          I get a message to “Restore pages” when I open the FPS PRODUCTION link. Should Restore?
    •     You can disregard this message and click the “X” to close it. When you click the FPS PRODUCTION link you are opening an FPS session. If you click restore, it will open a second tab for the Faculty Pay System and you do not want a second session started.

  •          Can I use the VDI session for other work?
    •     Yes. Once you are logged into the VDI you should have access to your network drives and can access your applications that are available through myLCC. More information about the VDI is explained in the following 5Star Knowledge Base article:

  •          Can I use the VDI if I am already signed into my VPN or connected on campus? Yes
  •          Will the VDI disconnect my VPN or on campus connection?  No
  •          Can I shrink my window, so it does not take all the space on my monitor? Yes you can. Here are some tips:
    •  If your VDI session is in full screen, click on “Exit Fullscreen” to have the option to shrink your screen:

    •  From this point, you will have the option to “Restore Down” in the upper right corner of your VDI page. You can     click this button then use your sizing controls to click and drag the screen size to match the FPS window.
    • You can also use the hot keys “windows + left arrow” to shrink the page to the left half of your monitor or “windows + right arrow” to shrink the page to the right half of your monitor.

Faculty Pay System

  •          Can I start accessing the FPS though the VDI now? Yes. Please start using the VDI from this point forward.
  •          What if I closed the FPS, but did not log out and exit?

You do not need to worry. Most of the time your connection will end when you close the window. It is recommended that you log out to insure that your connection is closed. You will likely get a message the next time you open the browser that asks if you would like to “Restore” your previous session. You can click the “X” on this message to disregard.

  •          What are the Faculty Pay System password requirements? Password requirements are:
    •     Minimum Characters: 10
    •     Maximum Characters: 30
    •     Letters & Numbers: All letters and numbers are allowed but must start with a letter and not a number.
    •     Not Case Sensitive
    •     No Special Characters:  such as: comma, backslash, double quote, !, &, @

  •          Is the Faculty Pay System going to be replaced or upgraded?

Yes. A new custom application is being built to replace the Faculty Pay System. We have an active development team and focus group for this project. Our anticipated launch will be for the Summer 2023 semester.

  •          How do I request access to the Faculty Pay System for myself or others? Use the HR Security request located in the 5Star Service Center.

  •          How do I remove the Faculty Pay System from my Internet Explorer Favorites?
    •     Click on the “Star” icon next to the address bar.
    •     This will open your Favorites menu
    •     Click the menu drop down located at the top of the Favorites panel
    •     Select “Organize Favorites”
    •     Find and select your favorited link and click “Delete”
  •          How do I delete a shortcut from my desktop?

Right click the icon and click delete

  •          Should I delete Internet Explorer from my workstation?

Yes. Internet Explorer will not be supported as of June 15, 2022. It will no longer receive security updates and will not be safe to use. You should stop using this browser and uninstall it. Please contact the Help Desk if you need assistance.

  •          I use Firefox to access the Faculty Pay System. Can I continue to use this browser?

No. The only path forward is to access the Faculty Pay System using the VDI and the icon (shortcut) provided. You must remove any saved links to the Faculty Pay System from Firefox.
